AI & Construction Use Notice

Last updated: August 31, 2026

Short version: JobsitePilot uses generative AI to assist with construction documentation and reporting. AI can be wrong and can miss important information. JobsitePilot does not decide whether something is a change order, extra work, claim, compensable delay, safety issue, code violation, contractual notice, or entitlement to payment. Review every report yourself.

How AI Is Used

JobsitePilot sends the text and related report context needed for a requested report to an AI service provided by OpenAI. AI may organize, summarize, rewrite, classify or suggest content. Photographs may be stored with reports, but users must not assume that an AI description of an image proves what happened, when it happened, or who is responsible. Automatic weather and other structured data may also be added to a report.

Voice Transcription

When a user chooses voice input, the browser records an English field note and sends the recording through JobsitePilot to OpenAI for AI transcription. The application processes the recording in memory and does not intentionally store the audio in the JobsitePilot database; the transcript is added to the editable field note. Transcription can mishear names, quantities, times, units, locations, equipment models and technical terms. Users must review and correct the transcript before generating or sharing a report and must not record information they are not authorized to process.

Human Review Required

All AI-assisted reports, flags, summaries, classifications, suggested actions, and interpretations are drafts for human review. Verify names, dates, times, quantities, work descriptions, instructions, contractual references, recipients and deadlines against the original records. Do not treat a flag as proof that a right or obligation exists, and do not treat the absence of a flag as proof that no issue exists.

No Safety or Professional Reliance

Do not rely on JobsitePilot as a safety system, engineer, architect, attorney, claims consultant, estimator, inspector, utility locator, scheduler, or contract administrator. It does not monitor a worksite, issue stop-work decisions, approve methods, verify compliance, or replace competent persons and qualified professionals. Follow your contracts, laws, safety procedures, project controls, and required notice/deadline systems.

Reports and Transparency

A JobsitePilot PDF or report is not automatically a contractual notice, change-order request, claim, certification, inspection, approval, or professional opinion. Professional formatting does not mean that the contents were independently verified. Generated reports visibly identify that they are AI-assisted and require human review. Users must not remove or hide that information to mislead recipients. Where required and technically applicable, JobsitePilot may also use metadata or other machine-readable indicators of AI-assisted generation.

No Automated Significant Decisions

JobsitePilot's flags and classifications are workflow aids. The Service does not make solely automated decisions that produce legal or similarly significant effects about individuals. Decisions about work, safety, contracts, payment, personnel, compliance and project administration remain with the user and the relevant project participants.

Data Use

JobsitePilot does not use Customer Content to train its own general-purpose AI models. OpenAI states that API data is not used to train its models unless the API customer expressly opts in. For more information about personal data, providers and international transfers, read the Privacy Policy and Subprocessors page.
